The Warehouse Operations Manager plays a pivotal role in driving efficiency and transformation across multiple warehouse locations in the U.S. This position is ideal for a leader who has experience transitioning operations from manual to automated processes and is passionate about continuous improvement. The role requires building and maintaining strong relationships with local vendors to ensure seamless property and equipment maintenance, as well as managing approvals for repairs and unexpected expenses.
Additionally, the Warehouse Operations Manager serves as a key liaison between regulatory compliance and warehouse operations, ensuring clear communication and meticulous record-keeping across all sites. This includes compliance with FDA regulations, Good Distribution Practices (GDP), and company policies. As the company evolves, this role will actively contribute to optimizing workflows, implementing new technologies, and fostering a culture of operational excellence.
Key Responsibilities
Warehouse Operations
- Assist warehouses with fulfillment challenges, including follow-ups on Amazon orders.
- Support Customer Care with fulfillment-related concerns.
- Manage the Transportation Management system.
- Process 5-10 daily freight quote requests.
- Oversee freight invoice auditing to verify extra charges and ensure accurate payments to carriers.
Facility Management
- Supervise and maintain company facilities, ensuring safety and functionality.
- Negotiate contracts with service providers, conduct facility inspections, and coordinate renovations or updates.
- Manage maintenance and repair activities, working with vendors and contractors to resolve issues efficiently.
- Arrange services such as snow removal, landscaping, and securing necessary permits, including coordination with local fire departments.
Compliance
- Collaborate with HR to maintain OSHA records, post required documents, and track employee certifications and compliance training.
- Organize training sessions and manage renewal and recertification records.
- Act as the main liaison between regulatory compliance and warehouse operations, ensuring adherence to FDA regulations, GDP, and company policies.
IT Support
- Work with vendors and consultants to manage IT connectivity across locations.
- Oversee IT infrastructure across all sites.
- Assist Help Desk Technicians with Level 1 & 2 support issues and resolve Level 3 technical matters.
- Research and procure necessary IT hardware.
- Set up and install IT equipment for new office spaces and provide system access for employees.
- Administer and manage portals for various applications.
Collaboration & Communication
- Work cross-functionally with regulatory compliance teams to ensure products meet FDA regulations, GDP, and company policies.
- Coordinate with customer service, e-commerce, and procurement teams to ensure seamless order fulfillment and service.
- Maintain and enhance quality by adhering to standards and recommending process improvements
Qualifications & Skills
- Bachelor’s degree in operations management, logistics, or business administration.
- 2-3 years of warehouse management experience with proficiency in warehouse management systems (WHS).
- Strong ability to collaborate with cross-functional teams in a multi-site organization.
- Ability to work independently with minimal supervision.
- Experience in IT support is a plus.
