Overview:
Work for a VC-backed technology startup dedicated to innovation and excellence in the sports industry. Seeking a world class project manager type with a specialization in supporting executives to be our Head of Operations and drive operational excellence, manage key processes, and supporting the company’s strategic vision.
Job Summary:
The Head of Operations/Chief of Staff will serve as a right-hand to the CEO, overseeing a wide range of business functions. This role is critical in ensuring the smooth execution of company priorities, enhancing efficiency, and fostering company/wide alignment. The ideal candidate is an extremely organized, proactive leader with strong problem-solving skills and the ability to manage diverse responsibilities in a fast-paced environment. This is a unique opportunity to be a central, key part of a fast-growing company. The role will be based in Miami and average of one day per week in-person.
***Key Responsibilities***
Human Resources, Legal & Finance:
Support the Fractional CFO as they:
- Administer & manage staff compensation, employee onboarding/offboarding, and contract management
- Handle advisor agreements, partnership/vendor contracts, customer contracts, stock/shareholding-related documentation, and insurance matters
Conduct employee 1:1s and help the CEO set the company culture
Business Development:
- Facilitate and organize prospect follow-up and tracking for the CEO
- Maintain company HubSpot.
- Project-manage multiple contractors and consultants supporting the business
Marketing & Communications:
- Oversee outreach campaigns, manage domains, and oversee social media content
- Produce and distribute newsletters, shareholder reports, podcasts, and press releases
- Coordinate occasional events (agendas, flyers, banners, merchandise) and manage website updates
Operational Excellence:
- Maintain company Notion, Slack, G-Suite, and oversee internal/external data rooms
- Prepare biweekly All-Hands meetings, quarterly Board of Directors decks, and biweekly investor reports
- Develop and maintain company SOPs & company policies, travel matters
Strategic Support:
- Act as a trusted advisor to the CEO, providing insights and managing sensitive information with discretion
- Manage/support an offshore Executive Assistant to the CEO
- See around corners and be an extra set of eyes and ears that helps keep the CEO ahead of the game
- Drive special projects and initiatives as directed by the CEO
***Qualifications***
Experience:
- 5+ years in operations, administration, project management, program management, or a similar role, with experience supporting executive leadership
Skills:
- Superlative project management skills & experience
- Exceptional organizational and multitasking abilities with a keen eye for detail
- Experience with tools like Gusto, HubSpot, and Notion
- Excellent communication skills, both written and verbal, with the ability to manage internal and external stakeholders
- Proficiency in productivity tools (Slack, Google Workspace) and project management software
- Ability to handle confidential matters with discretion and professionalism.

Compensation:
- $115-130K base salary plus up to $125K worth of stock options and a guaranteed 15% raise upon the company reaching profitability
