The Reception and Office Support Associate primarily serves North American customers, employees and offices with phone reception and office support. The receptionists greet visitors in person or on the telephone and provide information and answer questions, when possible, or refer inquiries as necessary. As a first point of contact, receptionists relay accurate communications and demonstrate continuous professionalism and decorum.
This position is based in our Dallas offices. Compensation for this role will be around $20hr.
Duties And Responsibilities Aligned With Key Results
People
- As the first point-of-contact with clients and guests, maintain a professional and positive attitude with a high level of clarity in communications.
- Resolve complaints in a calm and professional manner, escalating to the applicable department or team when required.
- Provide guests, and employees, with general administrative and/or hospitality assistance including booking calendar appointments, scheduling transportation requests, and copying/ printing/ scanning/ filing when requested.
- Support Team Leaders and Director of Office Services with various administration tasks.
- Train and mentor new receptionists.
- Provide backup to Office Services staff by accepting deliveries, maintaining Track-It work orders, and reporting housekeeping and facilities maintenance related issues to landlord or property management.
- Assist IT and People Group with employee on-boarding and off-boarding activities.
Client
- Operate multi-line phone system and answer/transfer calls for global offices including U.S., Canadian and India offices in a timely, friendly, and very professional manner. Determine purpose of call and route to appropriate personnel or department.
- Maintain office security and log all guests, vendors, and contractors in log book and issue visitor and employee temporary badges.
- Monitor RightFax Folder and route faxes via email to the determined recipient.
- Assign security access level, create and activate badge and provide to new employees prior to first day. Deactivate and retrieve badges upon employee termination.
- Additional security badge responsibilities include issuing replacement badges, adjusting employee security access, and running log reports as requested.
- The Receptionist team ensures core hours are covered and each receptionist must have availability to work as required during these time periods. Core office hours range from 7:00 am to 8:00 pm, Monday through Friday.
Value
- Manage after-hour general voicemail account and forward messages as necessary.
- Receive courier deliveries and notify recipient or mail room for pickup.
- Ensure main floor kitchens, lobbies, and reception areas are tidy and stocked with stationery, reading material, and replenish kitchen refreshments as needed.
- Manage employee parking records and requests, arrange for new employee parking, and validate guest parking via web based validation system. Conduct quarterly parking audits to ensure accuracy.
- Distribute, track and maintain of portable / travel projectors.

Education And Experience
High school diploma or general education degree (G.E.D.) required. Some college education would be considered a plus and highly preferable, as would related experience operating a multi-line phone system in a corporate environment. Minimum one year experience as a Receptionist and/or Administrative professional in a high call volume; professional corporate environment is a plus.
Computer Skills
To perform this job successfully, an individual must be competent and proficient in Microsoft Office including Outlook calendaring and room management, Power Point, Excel and Word, with the ability to learn and be proficient in additional software platforms.
Certificates And Licenses
Valid driver’s license required.
Supervisory Responsibilities
This position has no supervisory responsibilities.
