WHAT WE’RE LOOKING FOR
The Project Coordinator will facilitate the coordination and communications of immersive education programs and media asset creation programs. The position calls for someone who is extremely organized.
This person will be instrumental in improving administrative structures for programs to function as well as ongoing communications, support, and maintenance of the programs and their communities. This person will play a key role in facilitating the flow of information for all parties involved (internal team members, contractors, key stakeholders, and creators) in each program as well as creating efficiencies across different projects at Scout House.
This person is interested in gaming and immersive technologies and is eager and willing to learn on the go. They are someone who feels confident with note-taking, coordinating schedules & timelines, keeping team members organized/on track, and communicating with anyone from a contractor to a client.
The Project Coordinator will be a key member of an innovative team that produces quality programs that have made Scout House a top-ranking education and media provider in immersive tech, working with creative, production, and curriculum personnel.
This is a hybrid role. The ideal candidate will live in the greater LA area.
SKILLS AND EXPERIENCE
- Agency experience is a plus
- Experience managing production teams and schedules
- Must be detail-oriented
- Experience in resource planning and scheduling nice to have
- Monitoring and reporting project progress on a weekly basis
- Managing expectations—aligning projects to business goals, managing stakeholders, and communicating project status, milestones, and unexpected difficulties effectively
- Exemplary writing and speaking skills with an emphasis on clarity, organization, precision, and engagement
- 2+ years in content production nice to have; immersive content is a plus
- Experience with virtual and in-person event planning
- Experience with team collaboration tools like Trello, Google Suite, Slack, and other project management toolsets
- Experience in curriculum development and program facilitation for online learners, including implementation and evaluation of the curriculum, is a plus
- Fast learner—adaptability is a strong suit
RESPONSIBILITIES
- Ensure all ongoing notes are up-to-date and action items are clearly communicated
- Ongoing proactive weekly communications/touchpoints with the Scout House team
- Coordinating and following up with employees and contractors on deliverables
- Work closely with the Project Manager to manage production teams and schedules
- Resource planning and scheduling follow-ups
- Anticipating and planning production support needs to facilitate deadlines
- Providing support at all team and client meetings
- Support the team in building out educational material with key stakeholders
- Track the progress of all program deliverables and provide transparency into all associated action items to Scout House
- “Day of” event coordinator support
- Remote production support
- Reporting on program insights
- Additional tasks as requested
