Details:
- Schedule: Monday-Friday 8:00am-4:30pm
- Location: in office in Plymouth, MN
- Type: Direct hire with full benefits
- Pay: $60K-$70K depending on work experience
- +5% annually discretionary bonus (based mainly on individual performance with some dependent on company performance)
Responsibilities:
Operations & Team Leadership
- Lead and support employees by providing guidance to improve productivity and performance.
- Coordinate and communicate activities that impact operational decisions.
- Oversee daily office operations to ensure efficiency and smooth workflow.
- Plan and manage workloads to meet business targets in a cost-effective manner.
- Provide administrative support to various departments as needed.
Office Administration & Facility Management
- Manage office maintenance requests to ensure a clean, safe, and functional workspace.
- Oversee supply inventory and procurement to ensure departments have necessary materials.
- Handle check processing, UPS shipping, and receiving logistics.
- Maintain security protocols, including keycard management and visitor access control.
Reception & Communication
- Greet and assist visitors, vendors, and clients to maintain a professional office environment.
- Answer and direct phone calls, providing professional and efficient communication.
- Manage the RingCentral phone system, including troubleshooting and call routing.
IT & Equipment Management
- Provide basic technical support, such as system restarts and minor troubleshooting.
- Oversee office equipment maintenance, scheduling service requests as needed.
- Coordinate with third-party IT support to ensure timely issue resolution.
Client & Vendor Relations
- Maintain proactive communication with clients to address inquiries and concerns.
- Ensure high customer satisfaction by resolving operational issues effectively.
Special Projects & Process Improvement
- Take on special projects aimed at improving office operations and efficiency.
- Identify opportunities for process enhancements and implement streamlined workflows.
Requirements:
- 3+ years of related experience in office management or team leadership in an administrative production environment.
- Previous medical retrieval knowledge preferred.
- Notary Public certification (or willingness to obtain).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and experience with RingCentral(preferred).
- Basic understanding of IT troubleshooting and office equipment maintenance.
- Demonstrated ability to manage and track multiple tasks and meet deadlines
