Executive Assistant
Overview:
We are seeking a highly organized and proactive Executive Assistant to support our SVP of Enterprise & Field Marketing. This position demands excellent communication skills, a sharp eye for detail, and the ability to juggle multiple priorities with efficiency and discretion. You’ll play a key role in ensuring smooth day-to-day operations and supporting high-level initiatives.
Key Responsibilities:
Administrative Support
- Manage and optimize the SVP’s calendar, meetings, and travel.
- Draft and edit documents, presentations, and reports.
- Handle internal and external communications on behalf of the SVP.
Meeting Coordination
- Schedule and organize meetings, prepare agendas, take minutes, and track follow-ups.
- Ensure all logistics are in place: rooms, video conferencing, materials, etc.
Travel & Expenses
- Coordinate domestic and international travel, including detailed itineraries.
- Manage expense reports and reimbursements accurately and promptly.
Project Support
- Assist with the planning, execution, and tracking of special projects and department initiatives.
Office & Operations
- Liaise with IT, facilities, and other departments to address operational needs.
- Maintain office supplies and ensure a well-equipped working environment.
Confidentiality
- Manage sensitive information with absolute discretion and professionalism.
Communication & Stakeholder Engagement
- Serve as a key liaison between the SVP and internal/external teams to promote efficient collaboration.
Event Assistance (as needed)
- Support team events, including logistics, vendor coordination, and scheduling.
Qualifications:
- Proven experience in a high-level administrative support role.
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- High attention to detail and problem-solving mindset.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Professional, reliable, and able to handle confidential information with integrity.
