Executive Office Assistant

What You’ll Do
As the Executive Office Assistant, you’ll play a key role in keeping the team running smoothly by providing thoughtful and timely administrative support. Your responsibilities will include:
- Managing day-to-day operations and providing high-level administrative support to team leaders.
- Prioritizing and coordinating tasks across multiple stakeholders in a deadline-driven setting.
- Monitoring and organizing shared inboxes, screening communications, and handling complex scheduling and meeting logistics.
- Maintaining accurate records, contact lists, databases, and filing systems.
- Distributing financial reports, research materials, and industry updates to internal stakeholders.
- Coordinating domestic and international travel, preparing detailed itineraries, and processing expense reports.
- Liaising with accounting and investment teams to ensure timely and accurate invoice processing.
- Drafting professional correspondence, reports, and presentation materials.
- Identifying and implementing process improvements to increase operational efficiency and effectiveness.
What You Bring
- Bachelor’s degree or equivalent work experience.
- Minimum of 4 years of professional experience in an administrative support role.
- Background in financial services or real estate is a plus, though not required.
- Proven ability to support senior-level professionals with professionalism, discretion, and attention to detail.
- Strong communication skills, both written and verbal, with excellent grammar and proofreading abilities.
- Comfortable working independently and collaboratively within a large, dynamic team.
- Highly proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and problem-solving skills, with the ability to anticipate needs and manage shifting priorities.
- Experience mentoring or training peers is a plus.
- Flexibility to adjust hours occasionally to support team needs.
