Company
Say hello to the ecommerce OS.
Swap is a leading software provider dedicated to empowering e-commerce brands with innovative, data-driven solutions. Our cutting-edge platform helps online retailers optimise their operations, enhance customer experiences, and drive growth. We are committed to fostering a collaborative and inclusive work environment where creativity and innovation thrive.
About the Role:
As a Marketing Project Manager at Swap, you’ll help drive clarity, coordination, and creative output across our internal and external brand and growth initiatives. Reporting directly to our Senior Brand Manager and CMO, you’ll work hand-in-hand with our internal creative team to track deliverables, assign resources, manage timelines, and bring marketing campaigns to life.
You’ll maintain key workstreams and tools — including Notion, Monday.com, Slack, and our Cross Channel Marketing Content Calendar in Figma Slides (similar to Google slides) — and play a central role in team stand-ups, creative handoffs, and ensuring every project stays on track. You’ll also help shape how our team operates: refining process, improving workflows, and keeping the engine running smoothly behind the scenes.
Key Responsibilities:
- Manage the marketing team’s day-to-day project timelines and deliverables across social, web, newsletters, investor decks, integrated campaigns, etc.
- Track and organize all assets and due dates, ensuring cross-functional alignment with brand, content, and partner agencies initiatives
- Work in lockstep with our Sr Brand Manager and CMO to ensure team goals and priorities are met daily, weekly, monthly, etc.
- Maintain project status updates and documentation in Notion
- Oversee and keep current the team’s content calendar and strategic planning slides in Figma w/ Sr Brand Manager
- Help manage and evolve the team’s workflow in our tools
- Own and send the daily hotsheet via Slack for team stand-ups, including status updates and what’s on deck
- Collaborate with brand marketing leads on content scheduling, rollout planning, and campaign coordination so that deadlines are met
- Assign tasks and deliverables across the team, ensuring work is balanced and properly resourced
- Raise flags or issues early and adjust timelines or workloads as needed - being open to pivots/adjustments with support from brand marketing leads
What we’re looking for:
- 1–4 years experience in marketing operations, creative production, or project coordination
- Familiarity with internal project management systems like Notion, Monday.com, and Google Workspace
- Comfortable managing workflows across creative teams, content producers, and cross-functional stakeholders
- Experience assigning and tracking team workloads and resourcing needs
- Proven ability to keep multiple fast-moving projects organized and on time
- Thrives in dynamic environments where timelines shift and priorities evolve quickly
- Excellent communication and time-management skills
- Strong attention to detail, especially in creative reviews, status updates, and across multiple comms
- A love of systems, documentation, and building processes that scale
- Self-starter mindset with the ability to work autonomously and proactively flag roadblocks
- Bonus: Experience in social media operations, organic content workflows, SaaS, or ecommerce operations
Diversity & Equal Opportunities:
We embrace diversity and equality in a serious way. We are committed to building a team with a variety of backgrounds, skills, and views. The more inclusive we are, the better our work will be. Creating a culture of equality isn't just the right thing to do; it's also the smart thing.
