Overview
As an Event Administrative Assistant, you would be responsible for, but not limited to, the following:
- Opening duties to include: acquiring keys from security if needed to unlock doors, Un-forwarding phones, turning on lights in the entire office and getting the mail.
- Answer phones for 10 plus lines. (Answer within 3 rings, respond in a professional and courteous manner, provide assistance, transfer to voice mail, take message or page Conference Service Manager).
- Type and Send Out Introduction Letters & Packets (Includes typing a preliminary agenda, BEO's and critique shells).
- Stocking and maintaining of Menus, Promo Kit's, Forms and Lists.
- Extensive copying and distribution of Programs, Critiques, Revisions, Additions, etc.
- Acting as a liaison between the Conference Service Manager and internal/external customers, and providing assistance when Manager is unavailable.
- Assist in the creation of BEO's (Input menus and prices, set-up, banquets, general information, etc.).
- General office duties including sorting and distributing mail.
- Print out, type and distribute Daily Report. (Rotation through all Assistants on a weekly basis).
- Use radio to communicate to Banquets, Set-Up and Audio Visual Departments when necessary.
- Demonstrate commitment to making a conscientious effort to eliminate or reduce the risk of injury to our guests and associates, damage to our property or the property of others. Know the correct action to take in the event of an emergency, and demonstrate this knowledge by acting appropriately in the event of an emergency.
Qualifications
- High School Diploma or GED
- Some college education preferred but not required
- Prior customer service experience is preferred
- Proficient in Microsoft Office (Outlook, Excel, Word)
- Must type a minimum of 60 words per minute with accuracy
- Prior hospitality experience is a plus
- Delphi experience is a plus
- Basic assistant / secretarial experience is a plus
