Job Overview
We are seeking a detail-oriented and enthusiastic Assistant Event Coordinator to support our event planning team in organizing memorable and successful events. The ideal candidate will have a passion for event planning, strong organizational skills, and a proactive attitude. As an Assistant Event Coordinator, you will help manage event logistics, coordinate with vendors, and ensure smooth execution of events from start to finish.
Key Responsibilities
- Coordinate with vendors, suppliers, and venues to ensure all arrangements meet event requirements.
- Help manage event timelines, budgets, and schedules.
- Support on-site event setup, registration, and breakdown activities.
- Maintain and organize event materials, including contracts, invoices, and supplies.
- Communicate with clients to gather event details and ensure their needs are met.
- Assist with marketing efforts, including creating promotional materials and managing social media updates.
- Prepare and distribute event-related documents, such as agendas, floor plans, and checklists.
- Resolve any on-site issues or last-minute changes effectively and professionally.
Skills, Knowledge and Expertise
- High school diploma or equivalent (Bachelor's degree in Event Management, Hospitality, or related field preferred).
- Excellent organizational and time management skills.
- Strong interpersonal and communication skills.
- Ability to multitask and work in a fast-paced environment.
- Proficiency in Microsoft Office Suite and event management software (e.g., Cvent, Eventbrite) is preferred.
