Key Accountabilities
Administrative Support:
- Maintenance of the office space, its hardware and furniture, address failures and necessary repairs to the landlord and building management.
- Schedule cleaning services and address any building-related issues.
- Purchase of office (including hardware and software) and food supplies as per requirements
- Contact with couriers and post deliveries, assuring they arrive on time and with ordered goods
- Coordinate with the IT department new employee account creation, dispatch the IT hardware and update the "new hires" file. Maintain employees records and ID entry batches
- Assist with the return of company equipment after employee departures.
Financial And Invoice Management
- Enter invoices and journal entries into the NetSuite system.
- Enter Fixed Assets data into the system.
- Process intercompany invoices and generate payment files for bank uploads.
- Add new users to the NetSuite system.
- Monitor and follow up on intercompany invoice payments.
- Verify contractor invoices against the Time Camp, ensure accuracy, also as related to travel expenses.
- Collaborate with HR to resolve invoice discrepancies and request corrections.
Project And Employee Management
- Manage project assignments and employee timesheets in Time Camp.
- Ensure accurate recording of employees overtime and coordinate approvals
- Generate and dispatch project-related reports to managers.
Travel And Event Coordination
- Book flights and hotels for employees, ensure all travel details are confirmed by Project Responsible.
Required Skills And Experience
- Bachelor's degree in Finance, Accounting, Business Administration, or related field.
- Proven experience in finance and administrative roles.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- High attention to detail and accuracy.
- Very good English
Desired Skills And Experience
- Knowledge of financial software and tools (e.g., Netsuite).
- Experience working in a multinational environment.
- Familiarity with admin and billing processes.
Required Behaviors And Attributes
- Ability to work independently and as part of a team.
