The program coordinator will be required to work a hybrid schedule of three days a week in the office which consists of : Tuesdays, Wednesdays and Thursdays 8-5 PM PST.
The Coordinator effectively supports activation programs including but not limited to research, logistics, planning and reporting, and Assist Account Executives.
RESPONSIBILITIES
Events | Special Campaigns
•Based on program, serves as the first point of contact for Brand Ambassadors, Field Managers, and Tour Managers; including problem solving and issue escalation
•Manages the permit research process, including coordinating payment and payment tracking
•Researches events, venues, vendors, permits, and storage facilities
•Creates and helps to manage program schedules and/or calendars
•Communicates with third party vendors and collects pricing and information
•Facilitates event logistics and tracking
•Market travel as needed for audits and trainings
Account Management
•Oversees the timely completion of event confirmation calls and conducts calls when needed
•Participates on weekly or bi-weekly calls and communicates/inquires key information to/from field staff and/or clients
•Creates databases when necessary for client programs and completes data entry as needed
•Provides social media content from field to Program Manager as applicable to program
•Conducts research including (but not limited to) client competitor analysis
•Reviews and accepts individual expenses for field teams (client specific)
•Creates all daily, weekly, program end, and custom reports as requested
Writing | Editing
•Helps to write, create and compile training materials
•Drafts and provides ideas for reporting, RFP response pieces, and program planning documents, with the help of the rest of the team
•Assists intern manager with feedback and edits on their grammar, e-mails, tone and content for all documents
Other
•Submits staffing requests to Recruiting and conducts staff interviews as needed
•Reviews staff in talent portal when needed
•Communicates frequent updates to AE or AAE (as necessary)

•Contributes positively to the agency culture, atmosphere and values and exudes a positive outlook on his/her team
•Establishes professional and respectful relationships with staff.
QUALIFICATIONS
Education: Bachelor’s Degree in communications, liberal arts, business or marketing
Experience: One year of project management work experience. Experiential marketing experience preferred.
Skills & Abilities: Strong writing, editing, listening and verbal communications skills. Capable of multitasking, prioritizing and organizing. Excellent attention to detail. Self-motivated and able to work well in a collaborative environment as well as individually.
Great at time management, follow up, and results driven. Proficiency in Microsoft Office applications.
The salary range for this role is $48,000 - $50,000 annually, DOE.
