Position Overview:
We are seeking a professional Senior Dispatcher who excels in coordinating day-to-day scheduling and parts procurement for our Service and Construction teams. This is an individual contributor role focused on executing daily dispatch operations and coordinating parts inventory to ensure our technicians are well-equipped and scheduled efficiently to deliver outstanding service.
This role is crucial to customer satisfaction and profitability by ensuring timely technician dispatch, accurate parts ordering, and efficient inventory control. By minimizing delays and managing costs within budget, the Dispatcher & Parts Ordering Specialist helps maintain smooth operations, reduce waste, and improve job cost accuracy. Their attention to detail and ownership of these responsibilities directly impacts service delivery, client trust, and the company's financial performance.
The successful candidate will be a highly organized, proactive, and detail-oriented Senior Dispatcher & Parts Ordering Specialist to support our service operations, preferably in the Commercial Refrigeration or Construction industries. The ideal candidate will bring a strong sense of urgency, a "get it done right" attitude, extreme ownership of their responsibilities, and a positive attitude toward teamwork and problem-solving.
Key Responsibilities:
Day-to-Day Dispatching:
- Perform daily scheduling and dispatching of technicians for both Service and Construction projects with a sense of urgency, ensuring efficient routing and timely responses
- Assign tasks and adjust schedules in real-time to meet changing priorities and customer needs
- Dispatching off quoted jobs, ensuring work is assigned in alignment with quoted scope and NTE limits
- Communicate clearly with technicians, project managers, and customers to ensure job requirements are understood and timelines are met
- Regularly update and communicate through various customer websites and portals to ensure accurate tracking of service status, parts orders, and other key project details
- Maximize profitability by aligning skill sets to work order requirements and scheduling calls to align with contract billing requirements
- Maintain accurate records of job statuses, technician availability, and parts requirements
- When appropriate, ensure that technicians are fully equipped with the necessary parts and materials before they arrive at job sites
Parts Procurement and Inventory Management:
- Order parts and materials needed for service and construction jobs, ensuring timely delivery to avoid delays
- Track inventory levels and coordinate restocking to maintain optimal supply of essential parts
- Work with suppliers to expedite deliveries and resolve any issues with parts availability
- Source and negotiate with vendors to reduce costs and improve delivery times
- Maintain accurate documentation, including parts orders, invoices, and packing slips
Communication and Coordination:
- Collaborate with Service Management, Customer Account Managers, Project Managers, Construction Schedulers, Parts Coordinators, Billers, and Technicians to ensure seamless workflow and clear communication
- Use Monday.com and other tools to track job progress, technician schedules, and parts inventory
- Provide real-time updates to team members to ensure everyone is informed of scheduling changes or parts delays
- Communicate regularly and efficiently with clients to provide updates on service status and parts orders
- Identify and recommend improvements to current processes, focusing on operational efficiency and customer satisfaction
Qualifications:
- 10+ years of proven experience in dispatching and parts procurement in a service industry and preferably also with Construction projects
- Hands-on experience with work management platforms such as Monday.com, Asana, Smartsheet, or Wrike for scheduling and job tracking
- Excellent communication skills with experience using collaboration tools such as Slack, Microsoft Teams, and Google Suite
- Strong experience in parts ordering, inventory control, and managing POs
- Knowledge of quoting, Not To Exceed coordination, and working within budget constraints
- High sense of urgency with the ability to prioritize tasks and manage time effectively
