Position Overview:
The Executive Assistant will serve as a key right-hand to the CEO, providing administrative and strategic support to ensure efficiency across business operations, communications, scheduling, and special projects. The ideal candidate is a quick learner, thrives in a fast-paced environment, and is passionate about the creative industries.
Key Responsibilities:
- Provide high-level administrative support to the CEO, including managing a dynamic calendar, scheduling meetings, and coordinating travel
- Organize internal and external meetings, calls, and events, ensuring all logistics and materials are in place
- Act as a liaison between the CEO and clients, collaborators, and internal team members
- Assist with email and inbox management, drafting communications and follow-ups as needed
- Track tasks and deliverables across multiple projects, helping the CEO stay organized and on deadline
- Maintain and manage the agency’s contact database, ensuring all client, brand, and industry contacts are up-to-date and organized
- Own the upkeep and organization of the agency’s internal systems and knowledge base
- Support business development efforts by preparing decks, taking notes in meetings, and conducting light research
- Maintain confidentiality and professionalism at all times
Qualifications:
- Bachelor’s degree preferred
- 1–2 years of administrative experience, ideally in entertainment, talent, fashion, beauty, or creative industries
- Strong written and verbal communication skills
- Exceptional attention to detail and organizational skills
- Ability to anticipate needs, think critically, and offer solutions proactively
- Proficiency in Google Workspace and project management tools (e.g., Notion, Slack, Airtable, etc.)
- Comfortable working in a high-growth, ever-evolving environment
