Red Cedar Solutions is looking to fill an Administrative Management Support Specialist contract position. Responsibilities include preparing, developing and reviewing correspondence, reports, memorandums, presentations, and other forms of communication for distribution across various organizations on site and to offices off site (both Federal and non-Federal) as directed.
The Administrative Management Support shall review, distribute, and track conformance for grammar, typographical errors, accuracy, and procedural instructions and attachments necessary to properly monitor and track documents and correspondence as required in approved databases to ensure all assigned suspense requirements are complete in accordance with approved guidelines and processes.
The Administrative Management Support shall coordinate staff meetings to include the consolidation and presentation updates presented in a PowerPoint at staff meetings, complete in/out processing documentation for military/civilian personnel, monitor the Enterprise Task Management Software Solution (ETMS2) systems, maintain SharePoint pages, and develop the Office's monthly newsletter.
The Administrative Management Support will apply oral and written communication skills to interface effectively with personnel and stakeholders. Receive, assess, and handle incoming and outgoing office written communication. Manage the appointment and meeting schedule for the ES Director and provide the following administrative support:
- Review, edit, format office correspondence
- Take accurate minutes of meetings
- Produce and distribute correspondence memos, letters, and forms
- Assist in the preparation of regularly scheduled reports
- Maintain an electronic filing system
The Administrative Management Support will prepare and review a variety of documents and setting up conferences and meetings which may include visitors from other activities, agencies, the private sector, and foreign countries.
The Administrative Management Support will gather information, verify facts, summarize, or extract data from lengthy reports and arrange materials in appropriate form to facilitate use.
The Administrative Management support shall participate in marketing initiatives/campaigns.
Requirements
The Administrative Specialist must possess 2 years of specialized experience, some relevant college preferred (e.g., business and writing courses), contractor shall have knowledge of office management systems and procedures; excellent time management skills and ability to multitask and prioritize work; attention to detail and problem-solving skills; contractor shall have excellent written and verbal communication skills; and proficiency in MS Office. The contractor shall have interpersonal skills, be able to interact with customers and staff and must be able to communicate effectively and courteously when interacting with others.
