How will you make an impact in this role?The Global Services Group is comprised of key internal and external servicing functions that deliver extraordinary customer care to Card Members, merchants and commercial clients around the world, while providing world-class travel, credit, collections and fraud services. Each interaction is a chance to bring the brand to life for our customers and colleagues and help build on Amex’s reputation for trust, security and service.
The GSG Control Management team is responsible for all core Operational Risk Management (ORM) responsibilities across GSG, working closely with GSG leaders, as well as with other first-line Control Management teams across the company and the other lines of defense, to ensure we have a strong control environment and risk management culture across the enterprise. This role is based in Sunrise, Florida and will provide administrative support to two Vice Presidents in the GSG Control Management organization.Responsibilities:
- Responsible for calendar and meeting management on a daily, weekly and monthly basis, involving coordination with multiple parties and including generation of reminders to ensure deadlines are met
- Manage logistics of meeting administration (e.g., documents, video conferencing, Live Meeting, and other logistics)
- Event management including arranging on/off site/virtual meetings
- Manage IDs, access, payroll, time keeping and submissions for the team
- Office administration (e.g., ordering computers, equipment, supplies, and liaising with tech support as needed)
- Maintain headcount reporting, organizational charts, and department email distribution lists
- Manage domestic and foreign travel arrangements including air, hotel, car transfers and meeting agendas
- Ensure timely preparation and processing of expense reports and invoices; review expenses submitted to leader for approval and highlight any out of policy spend
- Coordinate facilities management responsibilities
- Manage general follow-ups and generate reminders to effectively meet deadlines and commitments
Minimum Qualifications:
- Significant years of previous experience as an Executive Assistant to a senior leader and familiar with office management and technologies
- Excellent written and verbal communication skills (email, phone, in person)
- Strong sense of integrity and the ability to exercise discretion and confidentiality with sensitive information
- Motivated, proactive team player with strong time management, organizational, administrative and interpersonal skills
- Strong attention to detail with an emphasis on accuracy, quality, timeliness, follow through and sense of urgency in executing
- High level of proficiency using MS Office including Word, Excel and PowerPoint, as well as internal AXP (or related) tools and systems – phone functions, MS Outlook, Ariba, Concur, Payroll and My Info - comfortable adapting to new technologies
- Ability to work effectively and flexibly with others and to build trusting relationships across the company
Salary Range: $24.05 to $48.10 hourly + bonus + benefits
