As a Production Assistant with the Show Production team, you will provide strong administrative and production support, both shoreside and in the field, for a variety of live/theatrical shows, entertainment experiences, projects, and special events on existing and future Disney Cruise Line ships, and locations around the globe.
You will report to the Producer.
This is a Temporary Assignment/Project Hire position with no guarantee of permanent placement.
What You Will Do
- Provide administrative support throughout the show life cycle of assigned projects, such as scheduling production team meetings, capturing accurate, concise notes from that meeting, and distributing them to the team in order to communicate key project information and timelines.
- Gather meeting and presentation materials. Set-up and strike all meeting needs and technology for a variety of collaboration spaces.
- Procure supplies necessary for the project. Coordinate appropriate shipping and oversee overall procurement logistics.
- Create project documentation including, but not limited to, task lists, milestones, contact lists, project calendars, travel grids, and elements lists.
- Coordinate collaboration tool access for the project team along with other team systems.
- Provide consistent, timely event/project updates to appropriate partners, such as shipboard/shoreside operations teams, vendors, etc.
- Manage and arrange all travel logistics such as air, ground, and sea travel for production team traveling for a project. Ensure all aspects of travel, such as hotels and car rentals, are arranged and accurately track these arrangements. Work with other shoreside teams when needed to finalize travel details.
- Partner with Immigration Compliance to obtain travel packets for team members traveling outside the country.
- Coordinate catering needs for the project team, while considering dietary preferences, both on the ship and shoreside.
- Document rehearsals and performances using photos and videos for the production team.
- Stay current with company issued training and assist outside vendors with getting signed up for mandatory security training.
- Serve as the point of contact in requesting/scheduling internal and external talent for rehearsals, fittings, and performances as directed by the Production Manager.
Required Qualifications & Skills
- 2+ years of project coordination experience in a live show, event, or theatrical experience setting.
- Proven ability to create and follow agendas, schedule meetings, follow-up on action items, meet deadlines, and complete tasks in a timely manner.
- Demonstrated ability to multi-task and deliver quality, timely work, within tight deadlines across multiple projects.
- Demonstrated ability to work in a fast-paced environment while being flexible to ever-changing priorities.
- Demonstrated strong verbal, written, and listening communication skills.
- Demonstrated computer proficiency in Microsoft Office Suite, Microsoft Outlook, Smartsheet, Keynote presentation software, and zoom, along with travel and project management software.
- Demonstrated skills in coordinating meeting technology, such as conference calls, video-teleconferencing, and other virtual meeting connectivity.
- Demonstrated problem solving and ability to identify areas for continuous process improvement.
- Willingness to travel extensively on various domestic and international assignments as needed for Disney Cruise Line and/or Disney Signature Experience assignments.
- Must possess a valid US Passport.
- Available and willing to work weekends, holidays, and third shift as needed.
Preferred Qualifications
- Knowledge of Entertainment Production and Operations in a professional theatrical, theme park, or cruise line environment.
Education
- High School Degree or Equivalent
