The Administrative Assistant IV will provide high-level administrative support to the VP, Ventures Team, and office at 139 Main St. This role requires a proactive, organized, and detail-oriented individual who can manage executive calendars, coordinate travel and events, oversee office management, and serve as the first point of contact for executives and visitors.
Key Responsibilities:
- Manage complex calendars, schedule meetings, and resolve conflicts.
- Coordinate domestic and international travel arrangements and expense reporting.
- Oversee office operations, including supplies, catering, and front desk reception.
- Plan and execute events, meetings, and board calendar management.
- Act as the primary liaison for facilities, vendors, and external stakeholders.
- Ensure compliance with corporate policies and confidentiality standards.
- Assist with onboarding new team members and process improvement initiatives.
Qualifications:
- 7+ years of administrative experience, preferably in a pharmaceutical or corporate environment.
- Strong proficiency in Microsoft Office Suite, Concur, SharePoint, and other business tools.
- Exceptional organizational, communication, and multitasking skills.
- Executive presence with the ability to interact professionally with senior leaders.
- Adaptable, proactive, and capable of anticipating business needs.
