Job Overview
We are seeking a highly organized and proactive Office Manager to oversee daily office operations and ensure a smooth, efficient workplace. This role is responsible for managing administrative tasks, coordinating office supplies, handling vendor compliance, supporting IT functions, and assisting with HR-related processes. The ideal candidate thrives in a fast-paced environment, takes ownership of responsibilities
Requirements
Office Administration & Facility Management
- Maintain a fully stocked office, including ordering and managing inventory of supplies, snacks, and shared amenities.
- Set up coffee, breakfast, and other shared office provisions as needed.
- Oversee mail distribution and outgoing mail management.
Compliance & Documentation
- Handle state registrations and renewals as required.
- Manage Certificates of Insurance (COI) entry and track compliance for vendors.
- Ensure vendor compliance, including MSA, PJA, PO, and COI documentation.
- Collaborate with AP (Accounts Payable) for vendor questions and payment entries.
HR & IT Support
- Maintain approved PTO tracking and provide administrative support as needed.
- Assist with IT asset allocation, ordering, and IT support ticket management.
- Facilitate business cards, key fobs, and company credit card ordering for new hires per divisional manager direction.
Financial & Accounts Payable Support
- Match check stubs with AP and file them appropriately.
- Send AP remittance for ACH payments.
- Print, save, file, and enter receipts as directed.
Qualifications & Skills
- Strong organizational skills with attention to detail.
- Ability to multitask and prioritize tasks effectively.
- Proficiency in office management software and administrative tools.
- Experience in vendor compliance, IT coordination, and financial documentation is a plus.
- Excellent communication skills and a proactive approach to problem-solving.
