Job Description Overview
HMV seeks a highly organized, proactive, and detail-oriented Executive and Personal Assistant to support our CEO and executive team. This role will involve professional and personal support, from calendar management and meeting coordination to personal errands and travel arrangements. The ideal candidate will have a strong ability to manage time-sensitive and confidential information, anticipate needs, and communicate effectively with a wide range of stakeholders.
Key Responsibilities:
Executive Support:
- Manage and coordinate the executive’s calendar, including scheduling appointments, meetings, and events.
- Prepare meeting agendas, materials, and follow-up notes, and ensure all relevant documents are available before meetings.
- Screen, prioritize, and respond to emails, calls, and inquiries on behalf of the executive.
- Conduct research, prepare reports, and draft correspondence as required.
- Coordinate internal and external communication on behalf of the executive, ensuring timely and accurate dissemination of information.
- Assist in managing special projects, including tracking progress and deadlines, and liaising with various departments as needed.
- Assist with marketing of the family office investment management, strategic development, and operational plan
Personal Support:
- Coordinate personal appointments, errands, and household requirements for the executive.
- Arrange and manage travel itineraries, accommodations, and transportation for both professional and personal travel.
- Assist with family and household matters, such as coordinating schedules, managing personal accounts, and handling specific requests.
- Organize personal events and special occasions as directed by the executive.
- Maintain discretion and confidentiality in all personal matters.
- Office Management & Administrative Tasks:
- Oversee office supplies and equipment, ensuring smooth day-to-day operations.
- Organize and maintain files, records, and documents, both digital and physical.
- Develop and implement efficient systems for managing information and communication flow.
- Support team coordination and collaboration by assisting with administrative needs across departments.
Desired Skills/Experience
- Bachelor’s degree preferred, or equivalent work experience.
- 3+ years of experience in an executive or personal assistant role.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Excellent organizational, time management, and multitasking skills.
- Exceptional verbal and written communication skills.
- High level of discretion and professionalism in handling confidential information.
- Ability to anticipate needs, problem-solve proactively, and adapt to changing priorities.
- Strong attention to detail and accuracy.
- Great multitasker and capable of simultaneously managing multiple projects with different deadlines.
- Strong written and verbal communication skills.
- Exceptional ability to deliver compelling presentations to an audience and strong negotiation abilities are a plus.
- Self-motivated, goal-oriented, enthusiastic, and eager to participate and learn in a multi-disciplinary environment. Ability to work independently with minimal supervision.
- Advanced level of interpersonal skills to handle sensitive and confidential situations
